In this role you will

The Admissions and Records Assistant Communicates with prospective graduate students in person, or over the phone, and via email or text. The incumbent will communicate NEIU's master's degree, certificate, and endorsement programs, policies and procedures. Utilize Slate to track and assist graduate students in all phases of the recruitment cycle. Provide customer service to prospective, current, and returning graduate students, guests and callers as they arrive in Graduate Admissions Office. Support admission operations by preparing mailings, process incoming documents via mail, received by email, or uploaded electronically, and record receipt of documents in Slate or Miscellaneous database. Responsible for running Slate queries each morning for data validation, and correcting any erroneous data quickly and efficiently. Remain current on new degree program offerings and changes in degree program requirements. Makes prospective student referrals to academic department chair when necessary. Learn and communicate the graduate application and admission process. Conduct phone campaigns, assist with developing Slate communication campaigns and assist graduate recruitment with special recruitment and event projects. Data entry of prospective student cards, assist with overseeing publications, assembling marketing materials, coordinate office supply inventory. Perform other office functions such as setting up student files, copying and other admission operations support duties.

MINIMUM QUALIFICATIONS AS OUTLINED IN THE CLASSIFICATION SPECIFICATION CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  • High school diploma or equivalent.
  • Any one or combination totaling one (1) year (12 months) from the categories below:
    • course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
    • work experience which could include administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Responsibilities

  • Receive, sort and process documents in support of applicant files and process through Slate and Miscellaneous database. Run Slate queries for data validation and correction. Receive and process any electronically submitted or paper submitted transcripts by logging them into Slate. Update checklist items and scan documents received into Slate. Assist with preparing files to send to programs for review, including adding GPAs to school profile and completing GPA calculator.
  • Make prospective student referrals to Graduate Admission recruiters or academic department advisors or chairs as necessary. Use Slate to look up applicant records and communicate/answer prospective or applicant questions about their application or the admission process. Provide general information about programs, application, admissions and program requirements. Troubleshoot problems and make referrals as needed.
  • Answer incoming calls to Graduate Admissions; obtain prospect student contact information; answer questions related to graduate admissions and processing; refer to graduate admissions staff in office if necessary. Assist with preparation of outreach and on campus events. Maintain materials inventory and place orders as needed.

Monday – Friday, 8:30 a.m. – 4:30 p.m. (Hours may vary depending on departmental needs)
