Director of University Events
Job Description: The Director of University Events provides leadership and support to the University community in planning, coordinating, scheduling, managing, and obtaining the necessary technical support for programs and events utilizing Northeastern Illinois University’s facilities. The Director reports to the Vice President for Student Affairs and serves as a member of the Student Affairs Council. Areas of specific responsibility include:
Event Planning: • Provides leadership in coordinating several major campus events, including the fall and spring commencements, Academic Honors Receptions, and Student Awards Ceremony. • Oversees the University-wide events schedule, when implemented, for all University events other than academic courses.
Client Services: • Collaborates with other University units (primarily the Department of Music and Dance, the Offices of Cultural Events, Advancement and Alumni Affairs, and Campus Recreation, and the Student Union) on the use and scheduling of large performance and event spaces and the provision of technical support, as needed; • Coordinates the rental of University facilities to non-University entities – from the solicitation of clients to coordinating needed support services provided by the various University departments; • Supervises technical support staff who provide audio-visual support for University events.
Administration: • Prepares and manages the University Events budget, including both university funds and income generated from facility rentals and ticket sales; • Hires, trains, schedules, and evaluates professional, administrative support, technical, and undergraduate student staff; • Assures compliance with Illinois and University policies in such areas as contracting and risk management (insurance); • Develops and monitors policies and procedures related to events and facility use guidelines; • Maintains liaison with other University offices such as Public Safety, Facilities Management, Student Union, and Media Services to assure that events are appropriately supported and that any event revenue is distributed to support units based on established guidelines; • Oversees the evaluation and assessment of the event and programming needs of a diverse urban commuter campus.
Qualifications required: • Bachelor’s degree in public relations, management, event planning, higher education administration, or related field; • A minimum of five years of professional level experience in campus event planning, including a minimum of three years of managerial experience. • Experience with the supervision, training, and evaluation of graduate student staff, at a minimum. • Experience with building cooperative working relationships with a wide range of faculty and staff across organizational lines • Experience in planning and implementing large campus events such as commencement, awards programs, campus-wide cultural events and festivals, conferences, major concerts, and other major campus programs involving the coordination of facilities, logistics, technical support, equipment, and people. • The ability to interact effectively with diverse campus populations in a positive and empowering manner; strong written, verbal, and group communication skills; organizational and management skills including budget management, strategic planning, evaluation and assessment; problem solving; and an understanding of facilities, risk management, and box office issues. • Preferred qualifications include a master’s degree in a related field and experience managing technical staff and full time staff.
